The Administrative Assistant will provide administrative support to the Regional Vice President and regional team as determined by RVP. Administrative responsibilities for this role, in addition to project coordination activities, generally include: coordination of club and district events, meetings, preparing reports, calendar management, PO management, coordinating travel arrangements, and communicating with key partners.
ESSENTIAL DUTIES & RESPONSIBILTIES
Complete tasks as needed to support the Regional team including preparing reports, presentations, and ad hoc policy, procedure, and process updates that impact the team
Meeting coordination, preparation and set up
Management of calendars, travel, correspondence and communication.
Maintain supplies for Regional Team and Training Rooms as needed
Review club equipment orders for accuracy prior to submitting, maintain monthly budget tracker
Review and approve club Staples orders
Monthly monitoring of expense reports for budget purposes and reclass into appropriate departments. PCard reconciliation.
Support upper field with reporting (i.e., Organizational Update, Weekly MTD EFT report and ad-hoc reporting as requested)
Generate monthly recognition for the clubs (i.e, certificates, trophies, fitness badges etc.)
Swag Distribution -- Support BPs with individual requests.
GOH -- Maintain Gift of Health tracking and distribute certificates as requested.
Create and/or maintain staffing, financial, contest, etc. reports to help inform and drive district and club behaviors
Maintain positive relationships with internal departments and external vendors
Grassroots projects -- Work with Clubs, Legal Dept and Vendors to coordinate grassroots marketing projects, maintain budget.
Donations -- Review donation requests, prepare donations to be sent to organizations selected.
Assist Office staff as needed with various project tasks and duties
Support initiatives including: support for NCOs, resolving member complaints/concerns, and.
Create and manage timelines, ownership, follow up and task list for Region projects
Coordinate and organize department mailings for internal department campaigns and initiatives
Assist other Company administrative staff and on projects when needed
May include design of materials, coordination of content and presentations.
This position will have a formal reporting relationship to the Regional Vice President. This position will communicate with outside vendors and clients as well as employees from field to executive levels. This position will inform other staff members within the region as well as update and interact with executives from other departments. Position is an individual contributor with no direct reports.

Minimum Educational Level/Certifications
- High School diploma or General Educational Development (G.E.D.).
Minimum Work Experience and Qualifications
2+ years' experience preferred supporting multi-unit group
Experience coordinating projects, timelines and follow-up
Physical Demands/ Environmental Conditions
Occasional lifting, able to lift over 30 lbs
Office position -- able to sit for up to 8 hours, and operate all normal office equipment
Knowledge, Skills & Abilities
- Knowledge of Fitness industry
- Bachelor's degree.
